• contact details, such as your name, email address, phone number and business address;
• identity documents and information needed for money laundering checks;
• financial and business records you share with us so we can provide our services;
• messages you send us, including through our website contact form.

We use your information to:

• provide the services agreed in your engagement letter (to perform our contract with you);
• carry out identity and money laundering checks (to meet our legal obligations);
• keep records required by law and by HMRC (legal obligation);
• reply to enquiries and manage our relationship with you (our legitimate interests).

We do not sell your data or use it for marketing without your consent.

When we handle personal data on your behalf, such as your customers’ contact details for credit control, we act as your data processor under the terms of our engagement letter and Terms of Business, and you remain the data controller.

We only share your information where needed, with: HMRC and other authorities when submitting returns you have approved; carefully selected software and service providers, such as cloud accounting and storage services; identity verification providers; our professional advisers and insurers; and the National Crime Agency or other bodies where the law requires it.

We keep information only as long as we need it for our work and our legal obligations. Business records are normally kept for at least six years, and money laundering identification records for at least five years after our work for you ends.

We take appropriate technical and organisational measures to protect your information. Some of our providers may store data outside the UK; where they do, we make sure suitable safeguards are in place.

You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, and to data portability. Some rights are limited where the law requires us to keep information. To make a request, email hello@forrestandfern.co.uk.
